Settings overview
The Settings section of Cortex Voice is accessible via the gear icon in the left side menu. It contains four distinct modules:
- Company Profile — name, industry, logo, sender email
- Users & Access — invitations, roles, permissions
- Notifications — detractor alerts, automated reports, thresholds
- Security — password, two-factor authentication, sessions
Only users with the Administrator role have access to all settings. Users with the Analyst role can view data but cannot modify account configuration.
Company profile
The company profile is used by Cortex AI to calibrate sector benchmarks and personalize the appearance of your surveys.
Settings → Company Profile. You will see the fields filled in during the initial setup.
Edit as needed:
- Company name — appears in survey headers and reports
- Industry — determines comparative NPS benchmarks
- Team size — used for Cortex AI recommendations
- Website — optional, displayed in the footer of email surveys
Click Edit logo to upload a new image. Accepted formats: PNG, SVG, JPG. Recommended size: 300 × 80 px minimum. Maximum file size: 2 MB. The logo appears in the header of all email surveys.
Enter the sender name (e.g., Team [Your Company]) and the reply-to email address. This address will receive direct replies from customers who respond to the survey via email.
Use the format [First name] from [Your Company] (e.g., Sophie from Comulead) rather than a generic brand name. Surveys sent from a named individual achieve on average 18% higher response rates than those sent in a brand's name.
User management
Cortex Voice allows you to invite multiple team members to the same account. Two roles are available.
| Role | Data access | Create surveys | Account settings | Billing |
|---|---|---|---|---|
| Administrator | Full | Yes | Yes | Yes |
| Analyst | Read-only | No | No | No |
Settings → Users → Invite a member. Enter the email address, select a role, and click Send invitation. The invitee receives an email with an activation link valid for 72 hours.
In the user list, click the three-dot menu (…) to the right of a member to change their role or revoke access. Revocation takes effect immediately — the user's active session is terminated.
There must always be at least one active administrator on the account. You cannot revoke your own administrator role if you are the only one. Promote another member to administrator before changing your own role.
Notifications
Cortex Voice sends automatic alerts based on the events you configure. Everything is managed under Settings → Notifications.
Enable real-time alerts to receive an immediate email whenever a customer gives a score of 0 to 6. You can set a grace period (e.g., group alerts every 4 hours) to avoid email overload.
Configure weekly or monthly summary emails. The report includes the NPS score for the period, trend data, the main themes identified by Cortex AI, and representative verbatims.
Set a score threshold (e.g., alert if NPS drops below 30). Cortex Voice notifies you immediately if your score crosses that floor, allowing you to act before the situation deteriorates.
Account security
Settings → Security → Change password. Enter your current password then the new one (minimum 10 characters, including one uppercase letter, one number, and one special character). A confirmation is sent by email.
Settings → Security → Two-factor authentication → Enable. Scan the QR code with an authenticator app (Google Authenticator, Authy) and enter the 6-digit code to confirm. 2FA is recommended for all administrators.
When enabling 2FA, Cortex Voice generates 8 single-use recovery codes. Store them in a password manager. They allow you to access your account if you lose access to your authenticator app.
